1st Line Support / Administrator
Location: Lympne, Kent
Salary: £20,000 - £21,000 per annum (+ performance related bonus scheme/pension/increased holiday with length of service).
Contract: Full time, permanent.
Since starting in 2003, FFX have become one of the UK's largest independent suppliers of high quality tools, fixings and building supplies and now we want you to play a key role in our future by joining our expanding Development Department.
You will be a key to our success by providing a central contact and follow up point for the company whilst providing administrative support to the department. This will include logging IT requests on our ticket system, allocating responsibility for task completion and providing updates on progress to the users. You will also be responsible for managing the day to day requirements of the outside supported VOIP phone system, keeping up to date records and assisting with queries relating to company mobile phones and hardware allocations and day to day liaison with our external IT support company.
The ideal candidate will ideally have at least 2 years' experience in a similar Administrative or IT support role with good knowledge of all Microsoft products i.e. word, excel, powerpoint and outlook. An interest in computing and all things IT is key in this role along with being positive, proactive, self-motivated and organised with a strong customer service ethos.

Responsibilities
• Ensure internal documentation is kept up to date and communicated.
• Ensure that departmental procedures are communicated, and all incoming requests are logged onto the ticket system in compliance of company policies.
• Answering department group calls whilst supervising and logging support queries using the ticket system and allocating responsibility for task completion.
• Chase up tickets that are allocated and provide progress reports back to the users.
• Identify any critical issues, raise immediately to management, resolve issues.
• Prepare KPI reporting for the department and any other reports and presentations as requested
• Manage the day to day requirements of the outside supported VOIP phone system. Ensuring name changes are made, phones licences are up to date and manage new phone or faulty phone changes
• Keep up to date records of portable hardware allocation to users, liaising with HR when new items are issued
• Manage the mobile phones utilising the managed support service to assist users with any queries and the setup of new mobiles.
• Keep up to date the list of mobile phone allocation and organise replacements where necessary following the approval process for purchasing new equipment.
• Liaise with external support providers to ensure any printer issues are logged and followed through to resolution
• Liaise with external IT support company to ensure new users are set up as needed with the correct licenses and access to the correct drives etc, leavers are correctly removed.
• Liaise with external IT support company to ensure Microsoft office licenses are reviewed periodically and kept up to date.
• Run daily reports and data exports for the Finance, Shops, Distribution Centre, Procurement and HR
• Fully document all departmental internal procedures and user instruction manuals for internally developed applications. (training will be provided)
• Assist colleagues whenever necessary
• Propose innovations, ideas and new opportunities.
• Consistently demonstrate and adhere to the brand values at all times
• Ensure compliance with the companies Health and Safety Policies and raise any issues of concern to management.
The Individual
Capability, Knowledge and Experience
• Good knowledge of all Microsoft products, word, excel, powerpoint, outlook
• An interest in computers and all things IT
• Good written and verbal skills.
• 2 years' experience in a similar role e.g. office administration, IT support role.
• Strong level of numeracy
• An eye for detail and a meticulous approach to keeping accurate and up to date records
• Good knowledge of FFX products an advantage
