Transport Manager

Location: Derby, Derbyshire.
Salary: £20,000 - £32,000 per annum dependent upon experience plus a bonus scheme based on Company Net Profit.
Contract: Permanent, full-time.


Founded in 1965, Rayburn Tours is a successful tour operator specialising in world-wide educational tours for schools, concert tours for amateur music groups, ski tours for youth groups and sports tours for clubs, schools and universities. Our sister company, Venture Abroad, specialises in holidays abroad for groups of people with common interests such as Scouting and Guiding. Venture Abroad also offers an event management service and works closely with the Trefoil Guild in arranging accommodation, excursions and entertainment for their Annual Meeting.

We arrange a comprehensive package for the customer which includes travel, accommodation, full itinerary service, insurance, excursion leaflets, organisation of concert venues and appropriate publicity for all concert tours, maps and `in-the-field` study handbooks (linked to the National Curriculum) across a wide range of subjects for educational tours.

Rayburn Tours is a family-run business based in Derby and employs over 90 members of staff.

We have an exciting opportunity for an experienced transport professional to join our growing team. The role is ideally suited to those who have transport experience within the group travel industry and strong analytical skills. After initial training, the successful candidate will be required to book and manage the ferry and coach transport for our groups, manage our aviation system and processes as well as co-ordinating staff travel arrangements.

Key Responsibilities:

- Obtain quotes for group coach and ferry travel, compile provisional itineraries and, once the tour is confirmed, to book and manage their transport requirements.
- Amend bookings and itineraries due to coach/ferry supplier schedule changes or client requests.
- Provide advice on tour transport feasibility, timings and routes.
- Build strong working relationships with suppliers, ensuring an adequate supply of transport is available at the agreed rates.
- Ensuring the hire of transport remains within agreed margins.
- Assist in calculating transport rates and uploading onto our internal quoting system.
- To assist in negotiating supplier rates.
- Maintain financial figures on our coach and ferry usage to be reviewed at monthly meetings.
- To be aware of transport legislation (i.e. drivers hours) and ensure all itineraries are compliant.
- To occasionally meet with suppliers at their business premises in order to carry out audits.
- Assist in resolving client and supplier transport issues.
- Manage aviation systems, processes, supplier contracts, projected flight costs and staff training to ensure that flight procurement is undertaken efficiently and profitably.
- Ensure that relevant aviation information (internal and external) and industry changes are cascaded to applicable staff.
- Effectively manage and co-ordinate all UK staff transfers (using our driver, hire cars or trains).

It is a full-time position (37.5 hours per week, Monday - Friday) based at our Head Office in Derby. The Company operates a Flexible Working Programme for all full-time staff which enables a choice of one of 4 bands to work per week between 08:00 - 18:00hrs.

The start date is immediate and is therefore dependent upon the successful candidate`s notice period.


Essential Skills & Experience:

- Experience of working in a transport management/co-ordinator role.
- Financial and commercial awareness.
- Excellent verbal and written communication skills with the ability to communicate confidently and effectively at all levels.
- Organisational and time management skills.
- Capable of working under pressure to tight deadlines.
- High level of accuracy and attention to detail.
- Proficient IT skills.
- Strong analytical skills.
- Good working knowledge of Excel.
- Valid passport and full driving licence.
