Department Overview:

The Vendor Management & Controls team is responsible for supporting the business owners throughout the Third Party Risk Management Lifecycle, managing activities such as timely completion of all Third Party Risk Management Risk Assessments, managing and driving timely renewal of contracts, monitoring performance to contract requirements and expectations, ensuring governance routines and ongoing monitoring activities are implemented commensurate with the risk of the engagement, ensuring audit and regulatory compliance and keeping abreast of industry trends and developments to ensure that our vendor relationships deliver optimal results and provide excellent support to FC & FMG in all aspects of the relationship.

- Must be eligible for employment under regulatory standards applicable to the position.

- \tHighly professional with established relationship building and previous Vendor Management experience and/or working with third parties

- \tAbility to manage multiple Vendor relationships simultaneously for same or different business partners in North America

- \tGood working knowledge of sourcing process and methodology

- \tExcellent communication, presentation and negotiation skills

- \tExcellent documentation skills; understands the importance of organized evidence storage to ensure audit readiness

- \tAbility to build effective working relationships with internal and external partners at all levels

- \tStrong project management, organization and time management skills

- \tAbility to work well under pressure and within tight timelines

- \tAbility to multitask and manage competing priorities effectively

- \tDemonstrated influencing, negotiation, analytical and presentation skills

- \tDrive and determined attitude to flawless execution

- \tDemonstrated stakeholder/relationship management and networking skills

- \tGeneral knowledge of the TD organizational structure including main business groups and their functions

- \tDemonstrated proficiency with Microsoft Word, Excel, and PowerPoint



Job Description:

- \tManage multiple vendor relationships for FC & FMG supporting the business strategic goals and objectives across FC & FMGs North American footprint

- \tFacilitate phases of the Third Party Risk Management Lifecycle, and ensure LOB compliance with TPRM Policy, Standard and Framework

- \tAccountable and responsible for timely completion of Third Party Inherent Risk Assessments for new/change third party relationships and other required assessments and deliverables, including review/approval from key stakeholders

- \tAccountable and responsible for monitoring vendor performance and risk, via reporting/dashboards/governance routines

- \tAccountable and responsible for risk and issue management, escalating and tracking vendor issues per TPRM Issue management requirements, partnering with the business to drive remediation plans on non-performing metrics or issues

- \tManage timely renewal of all contracts; Participate in/facilitate contract renewal and negotiation process, working with internal partners (Legal, Sourcing, Contracts) as well as business partners to ensure contracts and agreements maximize our values, meet business objectives, regulatory requirements, mitigate risks and meet the TD policies and standards

- \tEnsure strong understanding of contractual terms and conditions, and their commercial implications to the business in order to effectively manage vendor agreement(s) and relationship(s) and ensure adherence to contractual requirements

- \tLead the assessment/development and/or assessment of SLAs, standards, policies, procedures and compliance monitoring plans that maximize customer satisfaction, decrease risk and/or mitigate to the maximum of availability, efficiency and effectiveness

- \tCollect/Review/Assess audit documentations (i.e. SSAE16, SOC I/II, SIG) and determine next steps for remediation of gaps

- \tEnsure organized storage of evidence of all activities for audit readiness

- \tEnsure invoices have invoice processing procedures in place, including billing, invoicing, rebates, performance/penalty adjustments and internal charge backs, where appropriate

- \tMonitor vendor spend (costs), proactively identifying opportunities to improve cost effectiveness and trends against budget forecasts

- \tEnsure strong understanding of the Banks vendor management tools including Enterprise Spend Portal (ESP), Enterprise Contract Management (ECM), Hiperos, etc.

- \tSupport/update and adhere to FC & FMG procedures for Third Party Risk Management

- \tEnsure satisfactory Internal and External Audits & Compliance requirements are met

- \tLead the development and implementation of proactive strategies and tactics in managing partner issues and relationships

- \tBuild/foster solid relationships and organizational alignment with our business, sourcing, legal and contract partners, ensuring communication channels exist, attending/facilitating meetings and participating in working sessions

- \tSupport FC & FMG business units in achieving their targets as defined in the Scorecard by contributing to projects, leading initiatives and pro-actively recognizing opportunities for the business to meet these goals
